Howdy Week Events
Howdy Week events provide students with an opportunity to learn more about campus, each other, and college life in general through a series of educational and social events and are hosted by University offices, departments, and recognized student organizations. Howdy Week events take place each Fall between move-in and the beginning of the semester.

Howdy Week FAQ
A Howdy Week event is an approved event with specified learning or programmatic outcomes hosted in a virtual and/or reserved space with a designated start and end time throughout the designated Howdy Week dates. Tabling is not considered an event and will not be included in the Howdy Week schedule of events. All approved Howdy Week events will be listed in the Howdy Week schedule of events and on the Texas A&M mobile app.
Howdy Week events must be sponsored by a University office, department, A&M affiliated organization, or registered student organization as defined by Student Activities. Under no circumstances will third-party vendors or off-campus entities be able to host an event without a sponsoring University office, department, A&M affiliated organization, or registered student organization as defined by Student Activities.
In order to create a full, comprehensive schedule, Howdy Week programs will be spread out throughout the designated Howdy Week dates. General Event proposals can be submitted for any time between the designated dates of Howdy Week. Your organization is responsible for booking any spaces that you would like your event to be hosted in and submitting your event details.
Howdy Week events can be hosted in either in-person, hybrid, or virtual formats for Fall 2023. All reservation requests must be approved and follow university event guidelines. New Student and Family Programs does not book spaces.

Virtual Platforms available to Texas A&M University:
All organizations/departments/student organizations will be limited to a maximum of 5 event proposals.
To have your event listed in the Howdy Week schedule, you must first reserve your space on campus and have confirmation from either UCEN or the building proctor to host your Howdy Week event in that space. Once you’ve received confirmation of your space reservation, you can submit a Howdy Week event proposal. The proposal will be reviewed by the Howdy Week Committee and New Student and Family Programs. If approved, event coordinators will receive a conditionally approved email with additional information and next steps.
All event coordinators must coordinate all event logistics (including: space reservation, cost, insurance, waivers, contracts, permits, etc.).

Virtual Resources
All event hosts must:
- Reserve your space on campus and/or get building proctor approval for your requested event prior to submitting an event proposal. Your proposal will not be reviewed if a space reservation confirmation is not attached to your proposal.
- Submit event proposal by the designated deadline.
- If conditionally approved, submit all event details by the designated deadline.
- Consider accommodations for those with varying abilities.
For in-person events:
- Reserve the space and work with the facility manager for any additional steps and/or forms that is required for the space.
- Coordinate with staff and any other contacts.
For virtual events:
- Provide online registration link with your LiveWhale submission by the designated deadline.
- Practice with the technology and identify and/or contact appropriate tech support with questions or concerns.
Tabling is an opportunity for a University office, department, or registered Student Organization as defined by Student Activities to share more information on what you do and who you are. The Howdy Week schedule will not include individual tables in the schedule of events.
Here are some things to do and consider:
- Review the Event Planner's Guide.
- Think about the purpose of the event.
- Think about the timing of the event: does it have to happen prior to the start of classes or would it be better to host an event during the first few weeks of the semester?
- Will the event be virtual or in-person?
In-Person
- Where will you host the event?
- Do you have the resources to host the event? (i.e. funding, human resources, equipment, etc.)
Virtual Programs
- What platform will you use for delivery?
- How will you engage the participants?
- Do you have the resources to host the event? (i.e. funding, human resources, equipment, etc.)
Submit a Howdy Week proposal by the designated deadline.
You can still host an event; however, it will not be published in the Howdy Week schedule and you may not use the Howdy Week name, logo, and branding in your marketing efforts.
All decisions are final regarding the Howdy Week program.
