Third-party and Off-Campus Entities
All external parties interested in hosting an event on the Texas A&M University campus must be sponsored by a University office, department, or recognized student organization as defined by Student Activities (See TAMU Rule 24.99.99.M0.02).
External parties are responsible for seeking their own event sponsor. Third parties are responsible for adhering to all Texas A&M rules and procedures and obtaining all necessary insurance or licenses. External parties are also responsible for costs associated with the event, including space rental, support staff, catering, security, etc., as needed or deemed necessary by the sponsoring office, department, or student organization.
The sponsoring office, department, or student organization is responsible for coordinating communication with and requests for University facilities, catering, audio/visual, etc., and must be present at all times during the event, including setup and teardown. Additionally, should the third party not pay the assessed fees, the sponsoring office, department, or student organization will be responsible and it may hinder the third party’s ability to participate in future activities with the organization or institution.
Under no circumstances will a third party be permitted to use the Howdy Week logos on marketing materials, including websites, social media posts, etc.
